Key Concepts

Before diving into the platform, it's important to understand the core concepts and terminology used throughout Vantage.

Organizations

An Organization is the top-level entity that groups multiple companies together. Organizations enable cross-company dashboard sharing, centralized user management, and organization-wide AI context. Not every account needs an organization — they're designed for businesses managing multiple teams, departments, or clients.

See Organizations & Companies for details.

Companies

A Company (also called a "Client" internally) is the core organizational unit in Vantage. When you sign up, a company is automatically created using the name you provide during registration. Each company contains its own users, dashboards, integrations, AI context, and billing. Users in one company cannot see another company's data unless they belong to the same organization and cross-company sharing is enabled.

Users & Roles

A User is a person with an account in the platform. Each user belongs to exactly one company and is assigned a Role that controls their permissions.

Roles are named collections of permissions. Available permissions include:

PermissionControls
manage_organizationOrganization-level settings and policies
manage_integrationsThird-party integration configuration
manage_usersAdding, editing, and removing users
view_dashboardsViewing dashboards and tile data
edit_dashboardsCreating and modifying dashboards
run_workflowsExecuting workflows
edit_workflowsCreating and modifying workflows
manage_billingBilling settings and token purchases

Note: Users with no explicit role assigned have full access to everything. Roles are used to restrict, not grant, permissions.

Dashboards

A Dashboard is a customizable layout of tiles that displays your business data in real time. Dashboards can be private, shared within a company, or shared across an organization. You can create multiple dashboards and set a default one that loads when you sign in.

Tiles

Tiles are the individual data visualization widgets on a dashboard. Vantage offers 40+ tile types across multiple categories:

Each tile can be independently configured with a data source, visualization settings, and AI features.

Workflows

A Workflow is a visual automation pipeline built in the drag-and-drop Workflow Editor. Workflows consist of nodes connected together to form data processing chains. They can be triggered manually, on a schedule, or by AI-detected events.

Nodes

Nodes are the building blocks of workflows. Each node performs a specific operation. Vantage includes 170+ node types organized by category:

CategoryExamples
TriggersSchedule Trigger, Logical Trigger, AI Trigger
Data SourcesDatabase Query, File Upload, Workflow Input
TransformationsAggregation, Filter, Sort, Join, Union, Computed Column, Deduplicate
AIAI Enrichment, AI Formatter, AI Summary, AI Compliance Check, AI Conditional, Image Analysis, PDF Extract
IntegrationsSend Email, Send Message, Read Email, Google Drive, OneDrive
LogicMulti-Conditional, Compliance Check
OutputsDashboard Output, Workflow Output, CSV/JSON Export

Integrations

Integrations are connections to external third-party services. Vantage supports 30+ integrations across:

Credentials

Credentials are the saved authentication details for your integrations — API keys, OAuth tokens, database connection strings, etc. They are managed in the Integrations page and the Credentials settings area. Deleting a credential will break any workflows or tiles that depend on it.

AI Context

AI Context defines the background information that Vantage's AI uses when generating responses. It includes:

Tokens

Tokens are the usage currency in Vantage. All AI operations, workflow executions, and integration syncs consume tokens. Token costs vary by provider, model, data volume, and feature type. You can monitor usage in Settings → Account → Usage & Tokens and purchase more in Settings → Account → Billing.
