Managing Billing — Walkthrough Guide
Overview
The Billing & Payments page is accessible from Settings → Account → Billing. This is where you manage your token balance, purchase additional tokens, set your billing mode, assign a billing contact, and review transaction history. All payments are processed securely through Stripe.
Accessing Billing Settings
- Click the gear icon or navigate to Settings from the sidebar.
- In the left navigation panel, under the Account section, click "Billing".
Token Balance
At the top of the Billing page, you'll see your current Token Balance. Tokens are the currency used across the platform for:
- AI-powered features (summaries, insights, query generation)
- Workflow executions
- Integration data syncs
- Dashboard data operations
Your balance decreases as you use these features.
Purchasing Tokens
To add more tokens to your account:
- Navigate to the Billing settings tab.
- You'll see options to purchase token packages via Stripe.
- Select a token amount and click to purchase.
- A Stripe checkout modal will open for secure payment.
- Once payment is confirmed, your token balance is updated immediately.
Billing Mode
Vantage supports two billing modes:
| Mode | How It Works |
|---|---|
| Prepaid | You purchase tokens upfront. Each operation deducts from your balance. When tokens run out, operations may be limited until you purchase more. |
| Pay-As-You-Go (PAYG) | Tokens are consumed as needed and billed at the end of each billing cycle. You subscribe to a PAYG plan and usage is tracked automatically. |
You can switch between modes from the Billing settings page.
Billing Contact
You can assign a billing contact for your organization. This is the person who will receive:
- Invoices and receipts
- Payment failure notifications
- Subscription change confirmations
To set a billing contact, enter the email address in the designated field on the Billing page.
Transaction History
The Billing page includes a transaction history section that shows:
- Date and time of each transaction
- Transaction type (purchase, subscription payment, refund, etc.)
- Amount charged
- Token credits received
- Payment status (succeeded, failed, pending)
Stripe Integration
All payment processing is handled by Stripe. Vantage never stores your credit card information. When you make a payment:
- A secure Stripe checkout session is created.
- You enter your payment details directly into Stripe's UI.
- Stripe processes the payment and confirms it via webhook.
- Your Vantage account is credited with the purchased tokens.
Troubleshooting
| Issue | Solution |
|---|---|
| Token balance not updating | Wait a moment — webhook confirmation can take a few seconds. Refresh the page. |
| Payment failed | Check that your card details are correct, has sufficient funds, and isn't expired. |
| Need a refund | Contact support with your transaction ID. |
| Billing contact not receiving emails | Verify the email address is correct and check spam folders. |
